Cancellations and/or Substitutions for Annual Conference

Cancellations

Thank you for your email and I'd be happy to assist. Confirmed registrants may cancel and receive a full refund (minus a $225/€206 administrative fee) until 20 October 2023. A completed cancellation form must be received in writing via email no later than 20 October 2023. Registrants who do not cancel by 20 October 2023 and do not attend will be responsible for the full registration fee.

* Note: If a portion of your registration fee is covering HBA membership dues ($249/€230) this is nonrefundable and nontransferable per the HBA policy.

Substitutions

Thank you for your email and I'd be happy to assist. Confirmed registrations may substitute their registration by 20 October 2023. A completed substitution form must be received in writing via email no later than 20 October 2023. Substitutions made 21 October 2023 through 6 November 2023 are subject to a $175/€161 administrative fee. Substitution to a nonmember will require paid membership to the HBA in addition to the substitution fee.

What to pack for the Annual Conference

The attire we are recommending for the Annual Conference is business. Be sure to bring active wear if you sign up for the morning yoga or cardio group fitness sessions.

Also, don't forget to bring plenty of business cards as you're guaranteed to make connections.

The Sheraton Philadelphia Downtown Hotel is located eight miles from the Philadelphia International Airport.

Southeastern Pennsylvania Transportation Authority (SEPTA) provides train service between Center City and the airport on the Airport Regional Rail Line. Trains run every 30 minutes on weekdays and operate from 4:13 AM ET to 11:03 PM ET (Center City to Airport) and from 5:07 AM ET to 12:07 AM ET (Airport to Center City). On weekends, trains run hourly and operate from 5:13 AM ET to 11:13 PM ET (Center City to Airport) and from 6:07 AM ET to 12:07 AM ET (Airport to Center City).

Stations on the Airport Regional Rail Line include Terminal E/F, Terminal C/D, Terminal B, Terminal A (East), Eastwick, Penn Medicine, 30th Street, Suburban, Jefferson, and Temple. All stations on the Airport Line are wheelchair accessible.

Ride share:
If you plan to use Uber, Lyft, or another app-based ride service after landing at PHL, proceed through Baggage Claim and follow the Ground Transportation signs for Ride App/Zone 7.

Ride App pick-up zones are located on the S. Commercial Road outside of each Baggage Claim. Exit through the doors onto the S. Commercial Rd. and continue to follow signs for Ride App/Zone 7. Rates may vary.

Adding a Promo Code To Your Registration

Once an event has been added to your shopping cart;

Enter your discount code in the box provided. Please be sure to type the promo code exactly as it was provided to you as this field is case sensitive.
Click “Apply Code”, located under the payment tab, please be sure to check that the balance reflects your discount.
Click Next to continue through registration. Do not select "Express Checkout" on the Address page if you have a promo code to apply. Selecting Express Checkout will complete the registration process and bypass the Payment page, where promo codes are entered. Promo codes can be applied on the Payment page after the Address step.

If you are having difficulties applying the code or are receiving an error message:

Make sure you chose the correct registration type (Note: The promo code provided is tied to a specific registration type. Please work with your liaison, especially if you are registering through a corporate partner, to ensure the correct registration tier has been selected so the promo code can be applied successfully.)
Try typing in the code instead of copying and pasting the code as if you copy an extra space in the Promo code box the code will not work.

Safety (COVID-19) Policy

COVID-19 POLICY (updated 19 October)

The well-being of our attendees is HBA’s #1 priority. Here’s what we’re doing to protect your health and give you peace of mind so you can focus on collaborating and connecting with other attendees at the 2022 HBA Annual Conference. While COVID-19 will remain with us for the foreseeable future, we are now better positioned to live with the virus. Vaccines, treatments aimed at preventing severe illness in people at higher risk, and testing are now widely available. We will be guided by data, science, and recommendations from public health officials on decisions we make moving forward.

Masking

In addition to adhering to Marriott’s Connect with Confidence protocols, we are asking that attendees wear masks, covering both nose and mouth, except when eating or drinking. Acceptable masks include disposable surgical masks; valve-free respirator masks (N95 or KN95); gaiters with two layers; and cloth masks with “tightly woven fabric” and/or filter inserts, or a clear plastic window.

Proof of Vaccination/Negative COVID-19 Test

In addition, we require one of two options for attendees to gain entrance to the 2022 HBA Annual Conference at the Sheraton Downtown Philadelphia.

• Option A – Provide Proof of Up-to-Date Vaccination

The CDC’s definition of “up-to-date” is a person who has received the primary series of COVID-19 vaccines and any applicable booster shots. In the US, the primary series is defined as two doses of Pfizer-BioNTech, two doses of Moderna, two doses of Novavax, or one dose of Johnson & Johnson’s Janssen. For other WHO-approved vaccines the primary series is defined as two doses of AstraZenca/Oxford, Sinopharm, Sinovac, COVAXIN, Covovax, and Nuvaxovid, or one single dose of CanSino.

All verification of vaccinations will be conducted onsite, and proof of vaccination must come directly from the healthcare provider that performed the vaccination. Attendees may display proof on a smartphone or present a physical copy, along with a photo ID. Once approved, you will be given a wrist band to wear the duration of the event.

• Option B – Provide Proof of Negative COVID-19 Test

Provide proof of negative test result from an approved testing site taken within 48 hours of the event. The test results must clearly show the date and time of the test. Results from COVID-19 PCR tests and/or COVID-19 rapid antigen tests will be accepted. Self-administered or at-home test results will not be accepted. Once approved, you will be given a wrist band to wear the duration of the event.

Complimentary rapid testing is available at the Philadelphia International Airport.

Religious/Medical Exemptions: For those with medical or religious exemptions for the COVID-19 vaccine, results of a negative RT-PCR test must be provided 48 hours prior to conference start date.
